Edit an Invoice

Edit line items, invoice details, and the display options directly on an invoice.

Invoices are used to collect payment towards an outstanding balance on orders, quick sales, internal work orders, and service orders. Editing an invoice allows you to meet your customer needs with more customization and flexibility. By editing an invoice you will be able to:

  • Edit, Delete, or Add Line Items

  • Customize Invoice Details

  • Adjust Display Options

Important Note: Editing an invoice will only change the amount that you are billing the customer. The invoiced amount will be put towards the total outstanding balance on an order. If you need to discount a customer or change the outstanding balance, you will need to make this change on the order page not the invoice.


Edit, Delete, or Add Line Items

Every line item on an invoice has a description, unit price, and cost. Editing a line item will allow you to make updates to all three.

Edit a Line Item Price or Description

Next to that line, press the pencil Icon. Change the price or description using the text box and/or mark the item as Tax Exempt before pressing "Confirm."

Delete a Line Item

In Order to remove a line item, select the trash can icon next to that item and then "Confirm."

Add a Line Item

A line item can only be added on the invoice if it is on the order. To add a line item, select "Add" and select either a fee or another item that is on the order using the drop down.

Note: If an item or fee is not available as an option to add to the invoice, you must return to the order and add the item or fee to the order first. Once you return to the invoice, it will be available to add as a new line item.


Edit Invoice Details

At any point, the following details can be edited on an invoice:

  • Due Date

  • Invoice Period

  • Customer Notes

  • PO Number

  • Job Number

  • Job Description

  • Salesperson

In order to edit these details, follow these steps:

  1. In the top right hand corner click "Options."

  2. Click "Edit" in the drop down.

  3. Type in the new information that you wish to include. For example, to select a new due date you can type in the due date or use the calendar to select a new due date.

  4. Press "Submit" in the top right hand corner to save your changes.


Edit Display Options

An invoice can display item rates, meter readings, fuel levels, and line item notes for the items listed on an order. If you wish to edit what is shown on a specific invoice, follow these instructions:

  1. In the top right hand corner click "Options."

  2. Click "Edit" in the drop down.

  3. Scroll down to the "Display Options" Sections.

  4. Use the checkboxes to turn on or off Item Rates, Meter Reading, Fuel Levels, and Line Item Notes.

  5. Press "Submit" in the top right hand corner.


Permissions Only Administrators in Renterra have the ability to edit invoices.
