You can add a maintenance request both from the computer or mobile application view of the Renterra system — the process is the same either way. The primary way to add a Work Order is to click on Maintenance (either on the sidebar for computer or menu list for mobile), click "+ New Maintenance Request," and a drawer will open up to add a new Work Order to the system. From here you can choose to create either an Internal Work Order or a Service Request.

Creating an Internal Work Order

  1. Search Items: This is where you type in an Item description to identify the Item the Work Order is referring to. Ensure this is correct as the Work Order will impact this Item’s status.

  2. Repair Type There are two repair types - Repairs and Scheduled Maintenance. Repairs are reactive to unexpected issues, such as a flat tire. Scheduled Maintenance is proactive based on maintenance schedules set up for a given Item.

  3. Severity: There are two severity levels to assign a Work Order - Soft Down and Hard Down. The main difference is that an Item can be included on an Order if the status is Soft Down, but is unable to be included if the status is Hard Down on an Open Work Order.

  4. Job Description: This is where you can give a brief description of the nature of the Work Order.

  5. Start Date & Return Date: These dates are meant to be when you are starting the Work Order and when you expect it to be completed. You can edit the Return Date / Estimated End Date from the individual Work Order Page at any time if the timeline changes.

  6. Internal vs External: If the Work Order will be completed by your own company’s maintenance team, it should be marked as an “Internal” Work Order. If an external 3rd Party is going to be doing the Work Order, select “External”. If you select “External, you have the option to add the name of the Vendor doing the Work Order.

  7. Media: Upload any photos / videos of the work that you want stored to the Work Order.

  8. Notes: This is where you can fill in any extra information that you organization would like to include with internal work orders.

Creating a Service Request

  1. Customer: This is where you will search for the customer who is making the service request.

  2. Description: This is where you can describe the item that is being serviced

  3. Start Date & Return Date: These dates are meant to be when you are starting the service request and when you expect it to be completed.

  4. Tax Exempt: Whether this service request is exempt from taxes. If checked, all invoices created for this service request will have 0 tax.

  5. Media: Upload any photos / videos of the work that you want stored to the service request.

  6. Notes: This is where you can fill in any extra information that you organization would like to include with service requests. Once all the information in the drawer is filled out and you press “Submit”, a new Work Order will be created.
